Privacy
SharePoint Fax is operated by 365agents Inc. This notice covers access requests and the product’s information boundaries.
Product documents and operational records
Customer fax documents, routing policies and workflow history are stored in the customer’s SharePoint. The service retains approved operational metadata for authorization, delivery, reconciliation and usage. Carrier transmission and transient processing remain part of the delivery chain; this is not a claim that third parties never process a fax.
Customers administer their Microsoft tenant’s access and retention. Do not submit fax documents or protected health information through this website.
What we collect
When you request access we receive your company name, your name, your work email, your phone number if you give one, your Microsoft 365 domain, your expected monthly fax pages and whether you are a Microsoft 365 Global Administrator.
The form has no free-text field, so please do not send fax documents or other personal information through it.
How we use it
Only to review your request, contact you about it and, if it is approved, set up your organization’s workspace. Only our own operators can see requests. We do not sell or share these details.
How long we keep it
Your contact details (company name, name, email and phone) are deleted 90 days after your request is declined or withdrawn.
If your request is approved, we keep them until the first owner of your organization’s workspace signs in, because your work email is how we recognise you as that owner, and for at most 180 days after approval. Then they are deleted.
A request that is still open after 180 days is closed and its contact details are deleted.
You can ask us to delete your details at any time by replying to any message from us about your request.
Deleted details can remain in our encrypted database backups until those backups expire on their regular schedule.
What we keep
After your contact details are deleted we keep a record of the request without them: the Microsoft 365 domain, the expected monthly pages, your administrator answer, when the request was made and resolved, its status and, if it was approved, the workspace it created.
When SharePoint Fax emails you, we keep a keyed one-way hash of your email address with the record of that message for up to 90 days, and for an address that bounces or reports our email as unwanted, until we lift the block, so that we stop emailing addresses that bounce or complain.
Abuse protection and cookies
To limit repeated submissions we count requests per network address, per work email and Microsoft 365 domain, and in total. The address, email and domain are kept only as keyed one-way digests in counters that are removed after about an hour.
This site is delivered through Cloudflare. When bot protection is on, Cloudflare Turnstile checks that a person is using the form, which processes your IP address and browser signals.
We store your versioned cookie preferences in browser local storage. No optional analytics or advertising tools are currently installed on this public site. Cloudflare may set cookies needed for its security checks; sign-in on the separate app host uses necessary authentication storage.
